According to PwC’s 2023 "Workforce of the Future" survey, HR departments spend up to 40% of their working hours generating contracts and HR documentation—primarily due to manual processes. A digital, modular document creation system provides a solution by enabling teams to build content from standardized blocks and automatically populate them with employee data.

Document Creation in Day-to-Day HR
Drafting employment contracts, side agreements, references, or onboarding documents—these tasks form a major part of everyday HR operations. In practice, this often means repeatedly copying, modifying, and reformatting text, which increases the risk of inconsistencies and outdated wording.
A modular document system fundamentally transforms this process. Much like using WordPress to build a website, the right software allows you to assemble contract components and text blocks, automatically populate them with real-time employee data, and finalize documents in just a few clicks. The result: compliant, consistent documents generated in a fraction of the time.
Why Traditional Document Creation Slows HR Down
In many organizations, document generation still relies on standard Word or Excel templates. While this approach has been established for years, it comes with significant drawbacks:
- High Manual Effort: Content must be continuously copied, adjusted, and reformatted. This is time-consuming and increases error rates—especially for high-volume documents like employment contracts or amendments.
- Error and Versioning Risks: Updates to legal clauses or standard phrasing are often not applied consistently across all templates. This creates multiple circulating versions, leading to ambiguity and compliance risks.
- Inconsistent Wording: Manual editing often introduces variations in tone, language, and layout.
- Lack of Data Integration: Core employee data must be transferred manually into documents. This creates duplicate work and increases the likelihood of typos and discrepancies.
- These inefficiencies add up: according to Deloitte, digitizing HR processes can reduce document processing lead times by up to 50%. For HR teams, manual handling ties up valuable capacity that would be better spent on strategic initiatives like talent development and employee retention.
Contract administration for our truck drivers involves generating between 50 and 60 pages of documentation. Before HRlab, this process required roughly 1.5 hours of manual work. Now, in a worst-case scenario, it takes just 5 minutes.
The Solution: The Modular Principle
Instead of painstakingly drafting every document from scratch or manually editing templates, a modular system enables block-based document assembly. The comparison to WordPress is fitting: just like building a website, content can be flexibly assembled from predefined building blocks and tailored to specific requirements.
About HRlab
HRlab is an all-in-one HR management software. Document management is integrated into the Core Module, making it part of the basic package for all HRlab users. Key practical advantages include:
- 100% browser-based
- Intuitive user interface
- Automated text modules
- Real-time preview mode
- Purpose-built for HR documentation
How the Modular Principle Works in Practice
- Standardized Text Modules: Contract clauses, policy language, or entire sections are created once and maintained centrally.
- Variable Placeholders: Data points such as employee name, start date, or salary are automatically pulled from the HR system and inserted into the designated fields.
- Flexible Assembly: Whether drafting an employment contract, an amendment, or a reference letter, the relevant modules can be selected and combined in just a few clicks.
- Consistent Corporate Wording: Updates to modules apply system-wide, ensuring all documents remain compliant and up to date.
The Result: HR documents are produced faster, error-free, and with a unified look and feel—regardless of who creates them.
Practical Example: Automated Document Creation in HRlab
Drafting employment contracts or side agreements is a classic case where a modular system streamlined HR workflows. Here is how contract creation works step by step in HRlab:
- Import Core Data: The process starts with a job posting or candidate profile in the system. Relevant information—such as location, working-time model, or remote work arrangements—is automatically imported.
- Add Specific Details: HR enters remaining parameters into the candidate profile, such as agreed salary, start date, or fixed-term conditions. Supplementary terms like variable compensation, company cars, or allowances are also recorded here.
- Trigger Approval Workflow: Once all data is complete, a customizable approval workflow is triggered. Managers or executive board members receive the necessary details automatically to approve or reject the request.
- Generate Contract Template: Depending on the employee group, HR selects the appropriate template (e.g., fixed-term, permanent, collective agreement). Mandatory clauses (such as working hours and paid time off) are pre-integrated, while optional clauses (such as remote work, bonus schemes, or company vehicles) appear only if selected in Step 2.
- Assemble Text Modules: The system combines the captured data with the matching text blocks. For example, if an allowance is added, the corresponding contractual clause is automatically inserted into the document. Custom adjustments or special agreements can be made directly in the online editor.
- Review and Release Document: The contract is now complete. HR can review the content, make final adjustments if necessary, and export the finalized document as a PDF. Because all text modules are managed centrally, updates (such as new statutory requirements) are automatically reflected in all future contracts.
Additional Note: Contract modifications—such as salary increases or adjustments to working hours—follow the exact same principle. HR inputs the change, and the system automatically generates the corresponding addendum and triggers the approval process.
HR no longer needs to manually adjust documents line by line. Instead, all relevant information is managed centrally, combined with standardized modules, and automatically transformed into compliant, ready-to-sign HR documentation.
